Pricing framework

How much is your business data actually worth?

AI buyers do not price operating records by file size. They price on headcount, years, system diversity, and whether the chain from lead to cash is visible. Here is the framework.

Short answer

The published floor is $100,000. The actual range is much wider.

Published floor: around $100,000 for US operators with 20+ W-2 employees and three years of history. Disclosed quotes at the 50-employee mark run $200,000–$400,000. Larger operators with deep, system-diverse records clear into the high six figures. A quote on a website is not a bid — a bid is a written number, on named systems, after you have approved the categories.

Four factors do most of the work. Headcount sets the band. Years, system diversity, and workflow visibility set the price inside the band. Industry scarcity and data cleanliness nudge the quote at the margin.

A real pricing conversation starts with 20 minutes of metadata — systems, years, rough record counts — and ends with two written quotes from actual buyers before you see a draft license.

The framework

Four factors do most of the work.

01

Headcount sets the band.

Published floor is around $100,000 for US operators with 20+ W-2 employees and three years of history. Mid-size (50 employees) files move into the $200K–$400K range in disclosed quotes. Larger operators with system-diverse records clear into the high six figures.

02

Years of history set the depth.

Three years is the floor. Five or more is preferred. Ten or more commands a premium when it is paired with system diversity. A ten-year invoice file with no corresponding work-order chain still prices like three-year flat data.

03

System diversity sets the richness.

A single CRM is thin. CRM + ERP + FSM + accounting + email + ticketing is premium. Buyers pay for the ability to triangulate — the same transaction visible in four systems from four angles tells a richer story than the same transaction logged once.

04

Workflow visibility sets the price inside the band.

The chain from lead → estimate → work order → invoice → payment is the asset. Public text does not show this chain. Buyers price on whether a record set lets a model trace a decision from input to outcome.

Also moves price

Industry scarcity

Field-services operators are oversupplied in buyer longlists. Specialty verticals with regulatory or regional moats clear higher.

Also moves price

Data cleanliness

Consistent field conventions, few orphaned records, and system-of-record alignment reduce the buyer’s processing burden and lift the quote.

What depth means

Six layers of record, not six fields on a form.

Consider a pest-control operator at 50 W-2 employees over seven years, running PestPac and QuickBooks. That record set is not just a customer list. It is:

  1. 1Route histories by technician and day
  2. 2Chemistry logs tied to each treatment
  3. 3Treatment outcomes (re-service rates, pest resurgence) tied back to inputs
  4. 4Customer churn signals tied to pricing, service, and communication cadence
  5. 5Service-plan renewal data (opt-in, opt-out, upgrade paths)
  6. 6Technician notes capturing judgment calls — infestation severity, access issues, remediation decisions
That is six layers of chain. Not six fields on a form.

A buyer paying for operational data pays for the ability to trace a decision from input to outcome. One system with six layers of chain is more valuable than six systems with one layer each.

An estimate on a website is not a bid.

A bid is a written number, on named systems, after you have approved the categories. We require two written numbers before anyone sees a draft license on your file — including the one on this page.

Questions owners ask about pricing

  • Because any number without seeing your file is marketing, not pricing. Buyers price on the chain visible in your records, not on a form filled out on a website. The published floor is $100,000 for a 20+ employee, 3+ year US operator — that is a floor, not a bid. We require two written quotes from actual buyers before anyone sees a draft license on your file.
